Title: Events Specialist

Job Purpose
To support the delivery of the CIB business strategy by planning, coordinating and executing client-facing and internal events that enhance client relationships, create networking opportunities, strengthen the Nedbank brand and support employee engagement. The Events Specialist will be responsible for the end-to-end coordination of events, ensuring delivery excellence, stakeholder satisfaction, governance compliance, budget management and operational efficiency while supporting the achievement of business objectives.
Job Responsibilities
Event Planning and Coordination
- Support the development and execution of the annual events calendar in alignment with business objectives and stakeholder requirements.
- Preparation of event proposals, project plans, budgets and stakeholder presentations.
- Coordinate all event logistics, including venue sourcing, accommodation, transportation, catering, audiovisual requirements, entertainment, branding and guest management.
- Ensure all event requirements are delivered according to approved event plans and stakeholder expectations.
- Manage event timelines and monitor progress against agreed deliverables, budgets and deadlines.
- Coordinate and oversee event setup, execution and breakdown to ensure a seamless client and stakeholder experience.
- Support the execution of both physical and virtual events where applicable.
Stakeholder and Relationship Management
- Build and maintain effective working relationships with internal stakeholders, business units, service providers and external partners.
- Liaise regularly with sponsors, executives, marketing teams, procurement teams and suppliers to ensure alignment and delivery of agreed outcomes.
- Ensure stakeholder requirements are clearly understood, communicated and delivered.
- Resolve operational issues professionally and proactively to minimise event risk and ensure service excellence.
Budget and Financial Management
- Prepare and maintain event budgets, forecasts and expenditure trackers.
- Ensure all event costs are accurately recorded and managed within approved budgets.
- Source comparative quotations and evaluate suppliers to optimise spend and obtain maximum value.
- Support procurement processes, purchase orders, contract management and invoice reconciliation.
- Assist with post-event financial reconciliation and reporting.
Governance, Risk and Compliance
- Ensure adherence to internal policies, procurement requirements, contractual obligations, brand standards and approval processes.
- Identify event-related risks and implement appropriate mitigation measures.
- Monitor compliance with finance, legal, procurement and health and safety requirements.
- Maintain accurate event records, documentation and audit trails.
Reporting and Continuous Improvement
- Compile post-event reports, including attendance statistics, stakeholder feedback and budget reconciliation.
- Measure stakeholder and client satisfaction through appropriate feedback mechanisms.
- Analyse event outcomes and make recommendations for continuous improvement.
- Contribute to the development and enhancement of event processes, systems and operating procedures.
Supplier Management
- Establish and maintain productive relationships with preferred suppliers and service providers.
- Monitor supplier performance to ensure quality delivery and compliance with agreed service levels.
- Assist with supplier onboarding processes and evaluations where required.
- Identify opportunities for innovation, cost optimisation and enhanced event experiences through supplier partnerships.
Team and Department Contribution
- Contribute to the achievement of team objectives and broader marketing and events initiatives.
- Participate in team planning sessions, project reviews and departmental initiatives.
- Share knowledge, best practices and lessons learned with colleagues.

Essential Qualifications - NQF Level
- Matric / Grade 12 / National Senior Certificate
- Advanced Diplomas/National 1st Degrees
Preferred Qualification
- Bachelor's Degree in Marketing, Events Management, Communications or a related discipline.
- Project Management certification will be advantageous.
Minimum Experience Level
- Minimum 5 years' experience in event management, marketing, hospitality or a related environment.
- Proven experience coordinating corporate events, executive engagements, conferences, hospitality programmes and stakeholder events.
- Experience managing budgets, procurement processes, supplier relationships and event reporting.
- Demonstrated ability to manage multiple projects and competing deadlines simultaneously.
